STEPS

DETAILED INFORMATION IN ITALIA BUSINESS VISA PROCEDURE

STEP 1:
CONDITIONS FOR BUSINESS PURPOSES

 

  • A company invitation from Italy and an invitation letter in the format provided by the Embassy/Consulate General are required.
  • The inviting company must email the entire invitation dossier (including the invitation letter, business registration certificate, passport of the inviter, etc.) to the Italian Embassy/Consulate General before the application is submitted in Vietnam.
  • To apply for a multiple-entry visa: provide an invitation letter from Italy and a dispatch decision mentioning the request for a multiple-entry visa for the applicant. Additionally, either the company in Italy or in Vietnam must commit to covering all expenses for any subsequent trips.
  • If you want to apply for a multiple-entry visa, you must prove that you have been granted a Schengen visa at least 3 times at the time of application.

STEP 2:
PREPARE DOCUMENTS

   DOCUMENTS REQUIRED BY THE EMBASSY/CONSULATE GENERAL

  • Ensure that you do not need to use your passport for at least 3 weeks from the date of submitting the application at the VFS visa application center.
  • Organize the required documents into categories to facilitate preparation, such as certified copies, translations, originals, photocopies, etc. Translate all documents that are not in English.
  • For translation, notarization of the translations is not required if submitting in Ho Chi Minh City or Hanoi, but judicial certification of the translations is required if submitting in Da Nang.

   BOOK AN APPOINTMENT TO SUBMIT YOUR APPLICATION & PROVIDE FINGERPRINTS

  1. Choose one of the Italian visa application centers (VFS) in Da Nang, Hanoi, Hai Phong, Can Tho, Ho Chi Minh City, or Vung Tau in Vietnam to book an appointment for submission. Detailed contact information for the visa application centers can be found in this article.
  2. After estimating the date when your documents will be ready, make sure to book an appointment for submission and fingerprinting according to the Embassy/Consulate General’s regulations via the following link: https://visa.vfsglobal.com/vnm/en/ita/book-an-appointment
  3. You can reschedule your appointment up to 24 hours before the scheduled time. If your appointment has expired and you haven't submitted your documents, you can book a new appointment 24 hours after the previous appointment expires.

   FEES TO BE PAID WHEN SUBMITTING YOUR APPLICATION DIRECTLY AT VFS

  • Visa fee for Type C (business, tourism): 2,500,000 VND
  • VFS center fee: 222,000 VND
  • Express delivery fee: 134,000 VND
  • Additionally, there may be other service fees if you use any services at the center.

STEP 3:
SUBMIT APPLICATION

  • Print all the documents you prepared in step 2 and bring them for submission.
  • Arrive at the visa application center on time to submit your documents according to your appointment. (If you are not coming in time, you may be required return and book another appointment for submission.)
  • If your documents meet the requirements, you will have your photo taken, fingerprints collected, and receive a receipt for successful submission. If your documents do not meet the requirements, you will need to provide additional documents as requested or your application may be returned for further preparation.

STEP 4:
FOLLOW UP APPLICATION

  • During the review process, if the Embassy/Consulate General finds any points that do not meet the requirements or need further clarification, the applicant will receive a request to submit additional documents or schedule an in-person interview with the Embassy/Consulate General, depending on the specific case.
  • Therefore, always keep an eye on your phone, messages, email, or regularly check your visa status on the system to avoid missing any information, which could delay the processing time.

STEP 5:
RECEIVE VISA RESULTS BACK

Processing time is typically 15-20 days. There are at least 3 ways to receive the result:

  • Option 1: The applicant can personally collect the result at the VFS visa application center where the application was submitted.
  • Option 2: If express delivery of the passport was registered when submitting the application, the passport will be delivered to the registered address once having result.
  • Option 3: The applicant can authorize a third party to collect the result on their behalf, but a notarized authorization letter from the commune or ward must be provided.

Documents required on the result collection day:

  1. Receipt from the day the application was submitted at VFS
  2. The applicant's original national ID card
  3. Authorization letter and the authorized person's original national ID card + a photocopy of the applicant's national ID card

ITALY BUSINESS VISA CHECKLIST IN VIETNAM

INVITATION DOCUMENTS

  • Invitation letter in the format provided by the Embassy/Consulate;
  • Business registration certificate of the inviting company;
  • Passport or ID card of the inviter;
  • Documents proving the relationship between the inviting company and the Vietnamese company.

PERSONAL DOCUMENTS

  1. Original passport, valid for at least 3 months from the date of expiration of the issued Italian visa and at least 2 blank visa pages;
  2. Old passport (if any);
  3. 3 photos 3.5x4.5 or 4x6, white background, international standard, clearly showing face, ears, taken no more than 6 months;
  4. Marriage certificate (if any);
  5. Family registration book/CT07/Citizen identification card;
  6. Birth certificate (of children + applicant) + National ID (of husband/wife - if any);
  7. If you are a foreigner: Notarized copy of your valid Work Permit and Vietnam Temporary Residence Card (with the original for comparison);
  8. Travel insurance has a minimum value of 30,000 Euro and covers the duration of the trip with an additional balance of 2 days.

EMPLOYMENT DOCUMENTS

Business owner or shareholder:

  1. The business registration certificate must be legalized by the Ministry of Foreign Affairs/Department of Foreign Affairs on the notarized copy.
  2. The latest 6-month or quarterly tax report and proof of tax payment to the state budget.
  3. Original bank statement showing the company's revenue for the last 6 months or an original bank balance confirmation for the company (ideally issued 1-2 days before submitting the application).

For employees, additionally provide:

  1. Valid labor contract.
  2. Salary slips for the last 6 months with the company's official red stamp.
  3. Original decision on the business trip assignment.

FINANCIAL DOCUMENTS

  1. Bank statement of the salary account for the last 6 months (ideally issued 1-2 days before submitting the application).
  2. Savings account opened at least 6 months before the application date or a balance confirmation for the savings account.
  3. Vehicle registration (if available).
  4. Credit card limit confirmation (if available).
  5. Property ownership documents (if available).

NOTE

    All documents must have:

  1. A notarized copy must be provided.
  2. If not in English, documents must be translated into English.
  3. Bring the original documents for verification on the day of submission.
  4. For the invitation letter: The Italian company/Accommodation sponsor in Italy must email the invitation documents directly to the Italian Embassy or Consulate in Vietnam, depending on which authority is handling the case based on the applicant’s place of residence.
